ClarkCare is the compliance and maintenance team for UK landlords and small letting agents. This policy covers the ClarkCare website and the “Start now” onboarding form — we'll publish a separate policy covering tenant and property data once you're a client.
Who we are
ClarkCare (“ClarkCare”, “we”, “us”) is a UK-based compliance and maintenance team for landlords and small letting agents. You can reach us at support@clarkcare.co.uk.
What we collect
If you submit the “Start now” form, we collect your name, email address, number of properties, your biggest compliance or maintenance worry, and — if you choose to give it — your phone number.
If you become a client, we'll separately collect property addresses, current certificates, tenancy details and other documents directly from you — by phone, email or however's easiest — as part of onboarding.
Like most websites, our hosting provider automatically records basic technical information for every visit (such as IP address and browser type) in server logs, for security and operational purposes. We also log anonymous counts of page views, form views, form submissions and button clicks, to understand which parts of the site are useful. These logs don't use cookies or any identifier that follows you between visits or sites — see our Cookie Policy for details.
Why we collect it
We use the details from the Start now form to begin your onboarding and, once you're set up, to run your compliance and maintenance records. We rely on your consent as the legal basis for this under UK GDPR, given when you tick the consent box and submit the form.
Where it's stored
Onboarding details are stored in a private Google Sheet, hosted by Google, and accessible only to the ClarkCare team. The website itself is hosted on Vercel. We don't sell, rent, or share your details with any third party for marketing purposes.
Google and Vercel may process data outside the UK as part of providing these services, under their own standard contractual safeguards.
How long we keep it
If you don't become a client, we keep your onboarding details for up to 12 months so we can follow up, then delete them. If you become a client, your details move into our client records, governed by the terms you agree at that point. You can ask us to delete your details sooner at any time.
Your rights
Under UK GDPR, you can ask us to access, correct, or delete the information we hold about you, restrict or object to how we use it, or provide it to you in a portable format. To do any of this, email support@clarkcare.co.uk and we'll sort it out. You can also complain to the Information Commissioner's Office (ICO) if you think we've got something wrong.
Children
This website isn't directed at children, and we don't knowingly collect information from anyone under 18.
Changes to this policy
As we take on clients, this policy will expand to cover how property and tenant-related data is handled. We'll update the date at the top of this page whenever we do.
